4.1 LOCKSS and Backup Systems
LOCKSS – multiple copies saved on different servers and backups. The journal uses multiple backup systems to ensure preservation.
4.2 Website Archiving
All electronic content (website, manuscripts, etc.) is stored in three different sources. A copy is preserved on two backup sources. In case of server failure, restoration is expected within 48–96 hours.
4.3 Abstracting/Indexing Archiving
EJMSE’s Abstracting/Indexing services store essential information about articles. In addition, some of EJMSE’s Abstracting/Indexing services archive metadata for articles and their electronic versions. In this way, copies of articles are presented to the scientific community through these systems as an alternative to journals.
4.4 Long-Term Preservation
Politehnium Publishing House assumes responsibility for archiving all digital materials for as long as needed.
If the journal ceases publication, all published content will remain permanently accessible via archived repositories and indexing services.
We follow current standards and best practices in digital archiving and preservation.
4.5 Repository Policy
Authors are permitted to deposit:
- The submitted manuscript (preprint) – for personal use only.
- The accepted manuscript (postprint) – for personal use only.
- The published version (PDF) – for any purpose.
In institutional or recognized repositories, proper citation and a DOI link are provided. Authors are encouraged to preserve the final PDF on the journal website and update preprint records with publication links.
4.6 Recommendations for authors
Authors are encouraged to use and preserve the final PDF versions on the journal website. If an article has been posted on a preprint server, a link to the journal website or the publication reference should be added to the preprint record.
Authors could choose an official or suitable online platform to archive articles through Directory of Open Access Repositories.
- PUBLICATION ETHICS AND MALPRACTICE STATEMENT
5.1 Ethical Oversight
Research misconduct is not tolerated.
All manuscripts are screened using plagiarism and AI detection software prior to peer review.
5.2 Editorial Oversight and Citation Integrity
The journal maintains strict editorial oversight to ensure ethical citation practices.
Editors and reviewers must not:
- Encourage excessive self-citation
- Request citation of specific articles without scholarly justification
- Manipulate citation patterns to influence journal metrics
Citation manipulation, including coercive citation practices, is considered research misconduct.
All references must be relevant and personally consulted.
5.3 Plagiarism, Reproducibility, and Falsification
Authors must report their work accurately and precisely in order to be reproduced by other researchers independently. Plagiarism and falsification in any part of the submitted paper are serious offences to the scientific community and must be strictly avoided.
Manuscripts with significant similarity will be rejected.
5.4 Duplicate and Redundant Publication
It is unethical for authors to submit multiple similar manuscripts for publication at a time. It is also unethical for authors to submit a manuscript that has already been published or is under review elsewhere.
The publication that exhibits substantial overlapping with two or more previous publications without appropriate cross-referencing or justification for the overlap, i.e., redundant publications, is accepted only if:
(i) It strengthens academic discourse
(ii) Proper citation to the original source is included
5.5 Data and Supporting Evidence
We support transparency and openness around data, code, and other materials associated with research. We expect authors to maintain accurate records of supporting evidence necessary to allow others to understand, verify, and replicate new findings, and to supply or provide access to this supporting evidence, on reasonable request.
Authors are encouraged to include a Data Availability Statement and deposit data in recognized repositories.
Authors may be required to provide raw data during editorial review to verify research findings.
5.6 Artificial Intelligence (AI) Policy
Authors should not include generative AI technology as a co-author or author on any submitted manuscript. Generative AI technologies cannot be held accountable for all aspects of a manuscript, and thus do not meet the criteria for authorship.
If the author of a submitted manuscript used written or visual content created or edited with generative AI technology, the use must adhere to all publishing guidelines and policies. Specifically, the author is responsible for verifying the factual accuracy of any content generated by generative AI technology. This includes, but is not limited to, all quotes, citations, and references. Figures created or edited with generative AI technology must be verified to ensure they accurately reflect the data presented in the manuscript. Authors must also ensure that any written or visual content created or edited using generative AI technology is plagiarism-free.
If the author of a submitted manuscript used written or visual content created or edited with generative AI technology, such use must be acknowledged in the manuscript’s acknowledgements section as well as the methods section, if applicable. This explanation must include the name, version, model, and source of the generative AI technology.
We encourage authors to include all input prompts and outputs generated by generative AI in the manuscript’s supplementary files.
Authors using AI-generated content must:
- Verify factual accuracy
- Ensure plagiarism-free content
- Verify accuracy of figures
- Disclose AI use in acknowledgements and/or methods (tool name, version, source)
- Include input prompts and outputs in supplementary files where possible
We follow the international guidelines as:
-
STM: Recommendations for a Classification of AI Use in Academic Manuscript Preparation
-
Elsevier: The use of generative AI and AI-assisted technologies in the review process
-
WAME: Chatbots, Generative AI, and Scholarly Manuscripts
Authors remain fully responsible for content integrity.
5.7 Authorship and CRediT
The co-authors should be limited to those who have sufficiently contributed to the content of the work in responsible and accountable manners. The corresponding author must confirm that submission of the manuscript has been approved by all co-authors. Authors are obliged to participate in the peer review process. All authors are obliged to provide retractions or corrections of mistakes. Please ensure that any financial support is presented.
The author statement is recommended to be included before references, with the intention of recognizing individual author contributions, reducing authorship disputes, and facilitating collaboration. Example: First AUTHOR: Conceptualization, Methodology, Software. Second AUTHOR: Data curation, Writing- Original draft preparation. Third AUTHOR: Visualization, Investigation. Last AUTHOR: Supervision, Software, Validation.: Sun Qi: Writing- Reviewing and Editing,
5.8 Conflicts and Competing Interests
Authors must disclose conflicts of interest and funding sources. Competing interests include financial, institutional, personal, consultancy, patent, or stock ownership relationships. Reviewers and editors must declare conflicts and recuse themselves where appropriate. Failure to disclose may result in rejection, correction, or retraction.
5.9 Intellectual Property (IP)
Authors retain copyright under the CC BY-NC 4.0 license.
Authors are responsible for:
- Proper licensing of third-party materials
- Permission for copyrighted figures
- Disclosure of patent rights, trademarks, and proprietary processes
The journal respects intellectual property rights and will act upon verified IP infringement claims in accordance with international publishing standards.
5.10 Research Involving Humans or Animals
Research involving humans or animals should be approved by relevant ethics committee(s) and should conform to international ethical and legal standards for research. We also expect authors to respect human participants’ right to privacy, and to gain any necessary consent to publish before submitting to EJMSE
Research must comply with relevant ethical standards and EU Directive 2010/63/EU. Human participants’ privacy and consent must be respected.
5.11 Corrections, Retractions & Expressions of Concern (Post-Publication Corrections)
